Terms & Conditions

These Terms & Conditions govern the use of this website and the services offered by Arora Space. By accessing this website, submitting an enquiry, booking a session, or engaging with our services, you agree to the terms outlined below.

Please read these terms carefully. If you have questions before booking, we encourage you to reach out.

1. Our Services

Arora Space offers the following psychology and wellness services:

1.1 Individual Therapy

  • One-on-one psychotherapy sessions (online or in-person, where available)
  • Conducted by Latika Arora (Clinical Director) or qualified associate psychologists under her supervision
  • Customized to your presenting concerns and therapeutic goals
  • A collaborative, reflective process with no guaranteed specific outcomes

1.2 Couples Therapy

  • Joint sessions for couples seeking to improve communication, resolve conflicts, or explore relationship dynamics
  • May include individual sessions as part of the couples work, conducted with discretion
  • Conducted by qualified therapists with couples specialization
  • Subject to specific confidentiality agreements outlined in Section 6

1.3 Group Programmes

  • Cohort-based programmes (e.g., 8-week anxiety management groups, relationship skills groups)
  • Structured, time-limited groups with specific learning objectives
  • Led by qualified facilitators with group dynamics experience
  • Subject to group confidentiality limits — individual disclosures cannot be fully protected in group settings
  • Higher per-session cost than individual therapy but lower per-participant investment

1.4 Corporate Wellness Workshops

  • Psychoeducational workshops for employee groups (e.g., stress management, communication, resilience)
  • Designed to educate and build skills, not provide clinical treatment
  • No confidential therapeutic relationship is established
  • Participants are advised not to disclose personal health information in group settings
  • Subject to separate corporate engagement terms and employer consent

2. Nature of Services & No Guarantee of Outcomes

Therapy and counselling are collaborative, reflective processes. Important disclaimers:

  • No specific outcomes or "cures" are guaranteed. Results vary significantly based on individual effort, circumstances, and readiness for change.
  • Therapy is not a substitute for emergency psychiatric care or crisis intervention. If you are experiencing a mental health emergency, suicidal ideation, or serious harm risk, please contact emergency services (112) or a crisis helpline immediately.
  • Our services are not a replacement for medical treatment. If you are under psychiatric care, please inform your therapist.
  • Participation in group programmes or workshops requires commitment and openness; outcomes depend heavily on your engagement.
  • Corporate wellness workshops are educational only and do not constitute clinical therapy.

3. Therapist Qualifications & Team Structure

All therapists at Arora Space are qualified professionals:

  • Latika Arora — M.Sc. Clinical Psychology, certified clinical psychologist licensed to practice in India
  • Associate Psychologists — Qualified clinicians with relevant qualifications, working under Latika's clinical supervision
  • All therapists adhere to the Indian Psychological Association code of ethics and professional standards

Your therapist may be reassigned based on clinical matching, availability, or your expressed preference. You will be informed of any change.

4. Booking, Payment & Scheduling

4.1 Booking Process

  • Sessions are requested by submitting details through our website form or contacting us directly
  • Advance payment is required to confirm a booking
  • When you book and pay online, your selected date and time are confirmed immediately, and a confirmation email is sent to the address you provide (including session details and join information where applicable)
  • If email delivery fails or you booked without an email address, a member of our team may follow up by phone or WhatsApp within 24–48 business hours
  • If a selected time becomes unavailable, we will discuss and mutually agree on an alternative

4.2 Fees & Payment

  • Session fees are communicated clearly at the time of booking
  • Advance payment is required and confirms your intent to engage in therapy and reserves dedicated session time
  • Payments are processed securely through Razorpay
  • We accept card, UPI, net banking, and other payment methods supported by Razorpay
  • Payment receipts and invoices are available for download after transaction completion

4.3 Extended First-Session Assessment

  • First sessions with a new therapist may include a comprehensive intake and assessment
  • Extended first sessions (60–90 minutes) are priced higher than standard sessions and will be clearly communicated during booking
  • This assessment ensures proper case formulation and treatment planning

5. Online & In-Person Sessions

  • Sessions are conducted online by default via secure video link (Google Meet)
  • In-person sessions may be available in Bengaluru, subject to discussion, therapist availability, and space availability
  • Additional charges may apply for in-person sessions (travel, space rental). These will be communicated clearly before confirmation
  • You are responsible for ensuring a private, distraction-free environment for online sessions
  • Recording sessions without explicit written permission from your therapist is not permitted

6. Confidentiality & Its Limits

6.1 Individual Therapy Confidentiality

All information shared during individual therapy sessions is treated with strict confidentiality. Your therapist will not share information about you with anyone without your written consent, with limited exceptions.

Confidentiality may be broken when:

  • There is a serious, imminent risk of harm to yourself or others
  • Disclosure is required by law (court order, subpoena, legal obligation)
  • To contact emergency services in a crisis situation
  • Child safety concerns (mandatory reporting requirements in India)
  • For clinical supervision — your therapist may discuss your case with Latika Arora for clinical oversight and quality assurance
  • To prevent imminent harm or abuse (where legally required)

If your therapist determines that confidentiality must be broken, you will be informed as soon as possible, except where doing so would compromise safety.

6.2 Couples Therapy Confidentiality

  • In couples therapy, confidentiality is shared equally — both partners have equal rights to confidentiality
  • Information disclosed in the joint couples setting cannot be shared with one partner privately without discussion in the couples setting
  • If you request individual sessions within couples therapy, anything disclosed in those individual sessions will be discussed as it relates to the couple's work (e.g., "This is something we need to address together")
  • Therapists will not keep secrets from one partner. The couple's therapy is the primary focus.

6.3 Group Programme & Corporate Wellness Confidentiality

  • Group participants are expected to respect the confidentiality of others in the group
  • However, individual privacy cannot be fully guaranteed in group settings. Participants should not disclose highly sensitive personal health information
  • Corporate wellness workshops do not establish a confidential therapeutic relationship. Participants should assume workshop content and attendance may be visible to their employer at an aggregate level
  • Never disclose specific personal or health details in corporate group settings

7. Cancellation & Rescheduling Policy

7.1 Client-Initiated Cancellations

  • If you need to reschedule, please notify us as early as possible
  • Cancellations with 48+ hours notice: You may reschedule to an alternative time at no additional charge
  • Cancellations with 24–48 hours notice: You may reschedule, but a ₹500 rescheduling fee applies (non-refundable)
  • Cancellations with less than 24 hours notice (late cancellations) or no-shows: Your session fee is forfeited. No refund or rescheduling is offered
  • If illness, emergency, or unavoidable circumstances prevented you from cancelling in time, contact us directly to discuss options
  • Repeated late cancellations or no-shows may result in the requirement for payment before each future session

7.2 Therapist-Initiated Cancellations

  • If your therapist cancels, you will be offered an alternative appointment within 7 days or a full refund
  • We will make reasonable efforts to minimize cancellations on our end

7.3 Group Programmes & Corporate Workshops

  • Group programme fees are non-refundable once the programme has started
  • If you miss one session of a multi-session group, you may attend remaining sessions (no partial refunds)
  • If you withdraw before the programme begins, a full refund is provided
  • Corporate workshop attendance is usually booked by your employer; cancellations must be coordinated with them

8. Refund Policy

Payment for therapy sessions is non-refundable except in the following circumstances:

  • If you cancel 48+ hours in advance, your payment may be transferred to a future session or refunded at our discretion
  • If the therapist cancels, a full refund is provided
  • If a technical issue (e.g., internet failure) prevents the session from occurring on our end, a full refund or rescheduling is offered
  • Group programme refunds are available only if the programme is cancelled by us or if withdrawal occurs before the programme begins

9. Use of Website Content & Intellectual Property

  • All content on this website (text, articles, images, videos, design) is owned by Arora Space and protected by copyright
  • You may view, read, and share content for personal, non-commercial purposes
  • Copying, reproducing, modifying, or distributing content without written permission is not permitted
  • Attribution to Arora Space is appreciated when sharing our articles or insights publicly

10. Testimonials & Shared Experiences

  • Any testimonials, case studies, or shared experiences on our website are shared with explicit written permission
  • Testimonials are anonymised and do not include identifying information unless explicitly agreed
  • Testimonials reflect individual experiences and do not represent guaranteed outcomes for others
  • If you wish to share your experience or provide a testimonial, please contact us — we will obtain your written consent

11. Limitation of Liability

To the extent permitted by law, Arora Space and its therapists are not liable for:

  • Outcomes of therapy or counselling — including lack of improvement, setbacks, or adverse reactions
  • Decisions or actions you take outside of sessions based on insights from therapy
  • Consequences of not following therapist recommendations
  • Technical failures (internet outages, software glitches) during online sessions
  • Misinterpretation of content on our website or in communication
  • Any indirect, incidental, or consequential damages arising from your use of our services

Our responsibility is to provide professional, ethical care according to best practices. We are not responsible for outcomes beyond our clinical scope.

12. Dispute Resolution & Complaints

If you have concerns about our services:

  • Step 1: Contact your therapist directly to discuss the concern. Most issues can be resolved through open conversation
  • Step 2: If unresolved, contact Latika Arora (Clinical Director) via email or phone with details of your concern
  • Step 3: We will investigate and respond within 7 business days with a resolution or explanation
  • Step 4: If the dispute remains unresolved, you may request mediation or file a complaint with the Indian Psychological Association or relevant regulatory body

We are committed to addressing concerns transparently and professionally.

13. Emergency Protocols

Crisis & Emergency Situations

  • If you are experiencing a mental health emergency, suicidal ideation, serious self-harm, or harm to others, do not contact us — call emergency services (112) immediately or go to the nearest hospital
  • Our therapy services are not crisis intervention
  • After an emergency, please inform your therapist so we can support your ongoing care
  • In rare cases, if we determine you are in imminent danger, we may break confidentiality and contact emergency services or your emergency contact

14. Changes to These Terms

These Terms & Conditions may be updated periodically. The most current version will always be available on our website. Significant changes will be communicated to you via email or notification. Continued use of our services after updates implies acceptance of the new terms.

15. Informed Consent & Therapeutic Approach

Before your first session, you will receive information about:

  • The therapeutic approach your therapist uses
  • Session structure, frequency, and expected duration
  • Your therapist's qualifications and specialization
  • Confidentiality and its limits
  • Fees, cancellation policy, and what to expect from therapy

You are encouraged to ask questions at any time. You may request modifications to your therapy at any time.

16. Responsibility for Session Content

You are responsible for the accuracy and completeness of information you provide to your therapist. Therapy is most effective when you are honest and thorough in your disclosures. Your therapist relies on what you share to provide appropriate care.

17. Communication & Follow-Up

  • We use WhatsApp, email, and phone calls for appointment confirmations, scheduling, session reminders, and administrative communication
  • Automated emails may include booking confirmations, payment receipts, calendar invites, session reminders, and a continue link if you leave an online booking incomplete
  • These messages are transactional or administrative — not marketing — and relate to your enquiry or booking
  • Therapy-related content will not be discussed via WhatsApp or email — only in sessions
  • Response times: We aim to respond to messages within 24–48 business hours
  • For urgent matters outside session times, use our emergency contact information or call 112

18. Data & Records Retention

  • Session notes and therapy records are retained for 7 years after your final session
  • After this period, records are securely deleted or anonymised
  • You may request a copy of your records (subject to legal restrictions)
  • You may request deletion of your records earlier, subject to legal and clinical requirements

19. Termination of Services

Either you or we may discontinue therapy services:

  • You may withdraw at any time. We recommend discussing this with your therapist to ensure a proper closure
  • We may end therapy if: (1) you repeatedly miss sessions or don't pay for sessions, (2) there is a conflict of interest, (3) your needs fall outside our scope of practice, or (4) you are not benefiting from therapy
  • In either case, we will attempt to provide transition information or referrals to support continuity of care

20. Consent & Agreement

By booking a session or engaging with our services, you confirm that:

  • You have read and understood these Terms & Conditions
  • You agree to abide by them
  • You understand the nature, benefits, and limitations of therapy
  • You are of legal age to enter into this agreement (18+), or have parental consent if under 18
  • You will provide honest information and engage fully in the therapeutic process
